What are cookies and why are they needed?

When you visit our site, small data files (cookies) are stored on your device. They contain information about our website, so you can see your visit in your browser history, and they also include how long the cookie should be stored on your device. Depending on the website, more information may be stored in a cookie.

Cookies are used to give you a smoother experience and they also contain information that is useful for the website, for example that you have visited our site before. These cookies do not contain personal information such as credit card details or your email address.

We use Google Analytics to measure traffic, understand how visitors find us, and see what they do on our website.

How do we process your personal information?

When you shop online—on our site or any other—you share information about yourself, such as your address, email, and what you purchase. Here we describe how we handle your personal data.

Our guiding principle is to treat our customers as we would like to be treated—always. That applies to information, too. We hope you feel confident about how we process your personal data and that you’ll continue buying your socks from us.

GDPR – Your rights

The General Data Protection Regulation (GDPR) is an EU regulation that governs how we may process personal data. It replaced the Swedish Personal Data Act (PUL) on 25 May 2018.

Summary of our data handling

We collect as little information as possible. The data we collect is what we need to fulfil our obligations to you—and for you to fulfil yours to us (i.e., paying for your order).

If you choose to pay by invoice, our partners Klarna or Svea need your personal identity number; only then can we ship goods against invoice.

When paying by card, you must enter your card number. This happens via a secure server and Klarna or DIBS (Nets) handles card payments for us.

We also need to know which products you order and we need your email address and phone number to send delivery updates, changes, etc.

We must share this information with our postal/shipping partner so they can deliver your parcel.

If your order is sent with tracking, we transfer the necessary data to their systems so they can email or text you about your parcel.

How we use this information

We use your information to process and deliver your order. We use your email address to send information you have requested. If you no longer wish to receive communications from us, you can unsubscribe at any time via the link in our emails and you will not be contacted again.

Why we keep information

We retain data for accounting purposes. We must be able to provide documentation to the tax authorities. You can create an account at www.flexitoe.com to view your previous orders.

Remove your information from our database

The information we store serves only as documentation for the financial transaction. We keep it for legal reasons and therefore it cannot be deleted.

Which systems process your data?

When you shop with us, your order passes through several steps so we can process and ship your goods to you.

We work with the following systems/providers, and your information may be processed by some of them:

  • Abicart (Textalk) – our webshop platform
  • Specter – our ERP/business system
  • PayPal – if you pay via PayPal
  • Handelsbanken – if you pay via Swish or direct payment to us
  • Svea – if you choose to pay via Svea
  • DIBS – if you pay by card via DIBS
  • Fortnox – our accounting system
  • Posten – if we ship your delivery with Posten (trackable)
  • Bring – if we ship your delivery with Bring (trackable)
  • Posti – if we ship your delivery with Posti (trackable)
  • Budbee – if we deliver with Budbee
  • Space2u – domain and email management
  • Loopia – domain and email management
  • Gmail – email handling
  • Google – traffic analytics tracking
  • Trustpilot – service review platform

If you opted in to our newsletter, we also use a database via Mailchimp. Previously we used Amazon Web Services and a program called Sendy; during a transition period your details may still be stored there.

Abicart (Textalk)

We use Abicart (Textalk) for our webshop. It hosts our products, content pages, and everything else you see in the shop (including this page). When you place an order on www.flexitoe.com, it is handled in Abicart.

Your order is stored in Abicart’s database, which we and Abicart’s technicians can access. Abicart stores the data on our behalf and does not use it in any way without our permission and request. For example, if an order fails or is duplicated, Abicart’s technicians may investigate and troubleshoot.

Your order contains information about which products (e.g., support socks or compression tights) you purchased, how you paid (but no details like card numbers, personal identity numbers, etc.), and the address to which we should ship the goods.

Abicart (Textalk) sends emails to confirm that we received your order and when we’ve shipped it.

If you make exchanges or returns, we usually note it in Abicart. A note might look like this: “170918: Customer provided the wrong size; wants to exchange for one size larger.” We may also store email conversations related to the order and exchanges here to provide better service.

Svea, Klarna, Dibs, PayPal and Swish

At checkout, you choose a payment method. Depending on your choice, an external payment provider will receive information about your purchase. Klarna displays order contents in their system; an example may look like: “850.s_3 Compression socks class 1 – 2 pcs 109, total 218 SEK.”

If you have questions about how Svea, Klarna, Dibs, PayPal or Swish process your data, please contact the payment provider (and for Swish, your bank).

Specter – ERP

After your order is placed, it is sent to our business system. We use a separate ERP to connect inventory, accounting and logistics. Only we, and Specter’s technicians and account managers, have access. No one other than us processes your data.

Specter contains all information you provided—necessary to deliver your order.

We store this data in accordance with accounting law since it forms the basis for a financial transaction.

Postnord, Bring, Posti

When we ship your parcel with tracking, we share the data our partner needs to complete delivery.

This includes your address, email and phone number. This information may be printed on the outside of the parcel so the courier can contact you if there are issues.

Space2u

We use Space2u for domain management. This means some emails may be routed via Space2u to reach Gmail.

Loopia

We use Loopia for certain domains. Emails may sometimes be routed via Loopia to reach us.

Gmail

We use Gmail for customer service and order emails. When you email info@flexitoe.com, we are using Google’s email service. We normally delete incoming emails within 6 months of receipt. If we need to retain any information, we move it into Abicart/Textalk.

Fortnox – Accounting

We use Fortnox for bookkeeping. From Specter we export invoice journals used as accounting documentation. These contain the buyer’s name, invoice number and amount—not address, email, phone number, or items purchased.

We retain this information in accordance with the Swedish Accounting Act : “Records must be preserved up to and including the seventh year after the end of the calendar year in which the financial year ended.”

Cookies

We use cookies to, among other things, keep items in your shopping cart.

We also use Google services “Google Analytics” and “Google Remarketing,” which use cookies too. Read more about what this means for you .

Sharing and transfer of personal data

We are very restrictive about sharing your personal data with other parties. We never sell your data to third parties or grant access without a clear purpose.

Personal data may be transferred for necessary processing to companies we work with—for example Google and Facebook for digital marketing, and print houses or media agencies for the printing and distribution of physical marketing.

When we share personal data with third parties, it must be handled properly, used only for the intended purpose, and not distributed further.

Personal data is processed, for example, to:

Show relevant product recommendations, suggest shopping lists, remind you of forgotten/abandoned carts, or save lists to simplify future purchases.

Exceptions apply if we are required by law or court order to disclose information.

Your rights

You have several rights under GDPR. We have always respected our customers; GDPR mainly formalises this as a legal requirement.

  • The right to be forgotten (erasure).
  • The right of access (a copy of your data).
  • The right to rectification.
  • The right to data portability.
  • The right to withdraw consent for processing.
  • The right to lodge a complaint with the supervisory authority (IMY in Sweden).
